Purpose of the Role and Overall contribution to the Organization:
Creating a PARTNERSHIP with the GM & FLM
Making a DIFFERENCE to the GM adding value
Doing the work GM delegates with EXCELLENCE and allowing him to dedicate time to core business Roles and Responsibilities:
**Administrative Tasks**:
**1. Agenda Management**:

- Management of GM's agenda
- Elaborate holidays calendar of FLM: Send reminders and ensure communication of holidays within the whole FLM team.

2. Travel Management
- Negotiation and administration of hotels and vendors ensuring quality in their service

3. Expenses Reporting
- PO Creation
- Presentation and registration of expenses reports of GM

5. Administration of GM's petty cash

6. Documentary Control of General Management

7. Ad Hoc Administrative Requests

**Event Management**: Planning, Execution and Improvement

**1. FLM's Meeting**: Ensure Operational Rythm, Meeting scheduling, Assistance tracking, room reservation, meals, logistics

2. Support in Meetings with FLM Participation (Room reservation, logistics, materials, meals, etc.)
- Listen & Connect
- Leaders Community
- Breakfasts with GM

**3. Regional Visit Calendar**:

- Elaborate calendar for VP's visits
- Ensure logistics (meeting rooms, dinners, outings, lunch, coffee breaks, transfers, hotel reservations)

4. Support BD with the plan and organization of visits of global guests and global / regional events of the SLT team
- Ensure a successful visit including agenda gatekeeping, transfer arrangements, dinner venue organisation and others

**5. AEM**: Work together with Internal Comms Manager
- Schedule meeting with GM and IC to Review Presentation
- Logistics: Room reservation, catering, etc.

6. Support the Organization of Workshops & Outings of FLM (e.g.: strategy meeting, end of year meeting)

**Other Tasks**:
1. Provide interpretation and translation for non-Spanish speakers for personal documents, calls, online bookings on non-English sites, etc.

2. Ensure excellence in service to FLM members that require any support

**Educational Minimum Requirement**: Administration or similar careers, 5 years of experience in similar roles.
Experience as a executive assistant, preferably in multinational companies
Effective communication at all levels of the company, with proven track of C-level communication
Experience handling confidential information
Service Orientation
Ability to multitask and prioritize
Organization skills
Flexibility

**Language Requirement**: Fluent English
Proficient in MS Office (Word, Excel, PPT, Outlook)
Experience in events organization (NICE TO HAVE)
