Volunteer and Visitor Experience Administration

The Volunteer and Visitor Experience Administration Support Officer will work closely with the Volunteers Coordinator and the Visitor Experience Team to support the engagement, rostering, and individual support of volunteers across the National Museum of Australia and all front facing activities performed by the Visitor Experience Team.
The position will provide information regarding the Museum’s volunteering program to the public and assist teams across the Museum, including the PS Enterprise Paddle Steamer volunteers committee and the Education team.
Opportunities for input into the future development of volunteering and customer service excellence across the Visitor Experience Business Unit, will make this a dynamic professional experience for a self-driven multi-tasker with strong customer service skills.
Position responsibilities and duties include:
- updating volunteer information and contact database, including information sharing via SharePoint site
- managing the volunteer rostering system and negotiating availability and responsibilities with volunteers on an ongoing basis
- contributing to volunteer recruitment and orientation
- assisting with volunteer recognition activities and events
- minute-taking and secretariat provision for volunteer committees and groups
- assisting with implementation of volunteer policies and WHS requirements
- manage daily equipment and security requirements related to the provision of volunteering services
- liaising with Host Team Leaders and Bookings Team daily
- assisting the Visitor Experience team with operational duties, as required
- Supporting Museum-wide volunteering initiatives and events.
They must have an in-depth understanding of the support necessary to nurture a strong and reliable volunteering program in a post-Covid environment.
The incumbent will be a strong communicator, with proven capacity to effectively plan and organise their own work and the work of others.
High-level skills across administrative systems, databases and the willingness to learn new skills in a future digital environment are essential.

- Demonstrated ability to process administration tasks, prepare rosters and manage private and confidential information efficiently and accurately.
- Demonstrated understanding of the importance of volunteers in a large organisation and the sensitivities surrounding their individual needs.
- Demonstrated ability to communicate sensitively and effectively with a diverse range of individuals and groups.
- Excellent time management skills and the ability to work concurrently on a range of tasks and projects that enhance the overall volunteering and visitor experience at the Museum.
- Demonstrated ability to coordinate people, projects and events.
- Knowledge of work health and safety (WHS) principles and the ability to recognise and mitigate risk.
