About The Role
The DMC Coordinator is a pivotal role within G Adventures, providing essential operational booking support for our international DMC partners in the Latin America region. This position is responsible for the accurate and smooth execution of DMC bookings, including the daily management of name lists and rooming configurations.
The primary objective of this role is to deliver exceptional customer service in handling all DMC bookings for the region. This includes providing comprehensive support for post-confirmation inquiries, changes, and cancellations.
Responsibilities
Customer and Internal Communication
- Respond promptly and professionally to inquiries from DMC partners following the specific DMC partners documented processes and procedures.
- Maintain a high level of service quality, resolve issues, provide assistance, and collaborate effectively with DMC partners and internal teams.
- Compile and share a summary of daily inbox activity with teams to promote transparency and maintain workflow alignment.
- Manage DMC related communications through email ensuring timely follow-up on inquiries.
- Coordinate with cross-functional teams (e.g., Sales, Product, Operations, Finance) to ensure customer-related issues are resolved in a timely and efficient manner.
Operational Task Management
- Using tools such as spreadsheets, email, Slack, Compass and Salesforce to coordinate information, share updates, and ensure seamless workflow execution.
- Execute the entry of name lists, rooming requirements, DMC partner traveller requests as scheduled and required.
- Monitor email inbox and action tasks accurately meeting both the agreed operational and financial timelines.
- Execute booking-related tasks, reviewing Compass files for quality and accuracy
- Process Improvement & Reporting
- Track and report recurring issues or service disruptions to operations and leadership, contributing insights to improve internal processes and customer satisfaction.
- Maintain and stay up to date on internal documentation, workflows, and standard operating procedures to ensure knowledge remains current and consistent.
Training and Team Support
- Assist with the coordination and implementation of any DMC training and operational requirements for the region.
Requirements
- 1 year of experience working in customer service or operations environments.
- 1 year knowledge or experience with Reservation systems.
- 1 year Customer Service/administration experience
- 1 year knowledge with Salesforce or Customer Relationship Management systems
- 2+ years data entry experience.
- Intermediate level of English both written and spoken
- 1 year familiarity of Mac computer systems
- Proficient in Google Workspace (Sheets, Docs)
- This role is a hybrid role based out of Peru, where a minimum number of days as set by the region, is required in the Lima office.
