Sales Administration / Sales Support Specialist
will provide specialized administrative and operational support to the sales team, ensuring accurate execution of commercial processes, documentation control, and cross-functional coordination. This role operates with semi-senior autonomy and directly contributes to sales effectiveness and operational excellence, without direct sales quota responsibility.
WHAT YOU WILL DO
Key Responsibilities
- Prepare, review, and provide end-to-end follow-up on quotations for equipment, parts, and services, ensuring commercial and documental accuracy.
- Manage pre-billing, sales orders, contracts, and closing documentation in compliance with internal policies and OEM standards.
- Administer customer records, orders, and contracts in ERP systems (SAP), ensuring data integrity and traceability.
- Proactively coordinate with sales, logistics, service, parts, and finance teams to ensure timely delivery and invoicing.
- Handle documentation related to tenders, customer approvals, corporate sales, and rental agreements, meeting deadlines and compliance requirements.
- Monitor order status, inventory, in-transit units, and import processes, escalating deviations and supporting corrective actions. (together with logistic and commercial areas)
- Prepare and maintain commercial and administrative reports (sales, backlog, billing, inventory, administrative pipeline).
- Act as a key operational support point for the sales team, resolving administrative issues and ensuring process adherence.

WHAT YOU BRING
Requirements:
- Technical or university degree in Business Administration, Accounting, Foreign Trade, Industrial Engineering, or related fields.
- 3–5 years of experience in sales administration, commercial back-office, or sales support roles, preferably within heavy equipment, industrial, automotive, or B2B environments.
- Proven experience working with ERP systems (SAP preferred) and intermediate to advanced Excel skills.
- Practical knowledge of billing, commercial contracts, logistics, and import processes. ( preferably)
- Intermediate English proficiency (reading and documentation).
