THE ROLE:

A leading global immigration services provider is looking for an Operations Assistant to join our team in the Lima Office. The Operations Assistant will provide high-level service, confidential administrative support (reception and processing of invoices and payments among other similar responsibilities), as well as assisting our legal teams, customers, clients, vendors, and coordinating messengers on daily basis.

This position is in office / hybrid, applicants must be able to go to Fragomen's office in Lima to work.

As an Operations Assistant at Fragomen, you will:

  • Receive and record incoming documents and deliveries
  • Coordinate national and international shipping
  • Monitor and coordinate with messengers for pick up and/or delivery of documents
  • General administrative duties as needed (i.e. emailing, copying, typing, etc.)
  • Reception duties
  • Review and payment of invoices from vendors
  • Provide additional administrative support to the team (onboarding of new clients, coordination of transportation, notarization of documents, reports, and other similar duties)
  • Gather and maintain confidential client contact information in our systems of record

  • Demonstrated ability to prioritize and balance competing demands and meet deadlines in a fast-paced professional services environment
  • Excellent communication and interpersonal skills, and ability to communicate effectively at all levels in person
  • Ability to effectively coordinate and prioritize multiple people and various tasks simultaneously
  • Aptitude with a variety of technology tools, including Microsoft Office (Excel, Word primarily)
  • Very strong organizational skills and excellent attention to detail
  • Ability to file and manage confidential documents in an organized manner
  • Possess professional flexibility and the ability to apply initiative and good judgement when completing assignments for both yourself and on behalf of team members
  • A track record as a self-motivated team player committed to excellence in the workplace
  • 2–4-year degree in administration or related fields, or at least 6 months of experience in similar administrative roles within a busy professional services environment
  • Basic English skills are required
