Job Description:

This role provides high-level administrative support to the LATAM Director and assists the Human Resources Manager with coordination and communication tasks; requires excellent organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced, bilingual environment.

Accountabilities

  • Manage the Director's calendar, schedule meetings, and coordinate travel arrangements.
  • Prepare and edit correspondence, reports, presentations, and other documents in English and Spanish.
  • Act as a liaison between the Director, internal teams, and external stakeholders.
  • Support HR activities such as onboarding, employee communications, and event coordination.
  • Maintain confidential files and records related to executive and HR matters.
  • Organize and attend meetings, take minutes, and follow up on action items.
  • Assist in preparing reports and data for HR and management reviews.
  • Coordinate logistics for internal and external events, trainings, and workshops.
  • Handle expense reports, purchase orders, and other administrative processes.

Required Skills/Knowledge

  • Minimum 3 years of experience in executive support or administrative roles.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent communication, interpersonal, and organizational skills.
  • Ability to handle sensitive information with discretion and professionalism.
  • Experience supporting HR functions is a plus.

Education/Qualifications

Bachelor's degree in Business Administration, Human Resources, or related field.

Languages

Fluent in English and Spanish (written and spoken). Fluency in Italian is preferred but not required.
