Are you passionate about delivering exceptional customer service while ensuring smooth logistical operations? At Novonesis, we are looking for a proactive and detail-oriented Customer Service Representative and Logistics Analyst to join our team. This role is critical in managing customer relationships, ensuring timely order fulfillment, and optimizing supply chain processes.

Key Responsibilities

Customer Service (CSR)

  • Manage and follow up on manufacturer and customer orders from entry to delivery using Novonesis' systems.

  • Ensure compliance with purchase order requirements, including sold-to/ship-to details, product specifications, quantities, delivery timelines, pricing, currency types, Incoterms, and additional charges.

  • Maintain clear and consistent communication with internal and external customers.

  • Provide timely updates regarding order statuses and notify customers of any changes or modifications.

  • Ensure customers receive all necessary information and documentation to operate effectively with Novonesis.

  • Address customer inquiries, complaints, returns, and deviations with professionalism and efficiency, ensuring timely resolution.

  • Verify that customer purchase orders align with agreed-upon commercial terms (e.g., prices, delivery conditions, and locations).

  • Monitor product availability and coordinate dispatch schedules for timely deliveries.

  • Support audits by providing required documentation and responding to requests during internal or client audits.

Logistics

  • Oversee import, receipt, preparation, and dispatch of goods, ensuring adherence to company standards.

  • Generate reports and monitor pending delivery orders, sharing updates with the 3PL operator and relevant stakeholders.

  • Track inventory, including stock entries, lot numbers, expiration dates, and product certificates.

  • Track and manage costs of suppliers and consumables such as dry ice, boxes, and cooling containers.

  • Collaborate on quality audits related to the warehouse and train operators on best handling practices.

  • Propose and implement continuous improvement initiatives for 3PL operations and internal processes.

Qualifications

  • Bachelor's degree in business administration, Supply Chain, Logistics, or a related field.

  • 1 year of experience in customer service and logistics roles, preferably in the supply chain industry.

  • Strong knowledge in order management systems, and logistics processes.

  • Excellent communication skills to interact with internal teams and external clients/distributors.

  • Ability to work under pressure, prioritize tasks, and meet deadlines.

  • Experience with Logistics operations and inventory control is a plus.

  • Proficiency in SAP, Salesforce, Microsoft Office Suite.

  • Intermediate English.
