Position Objective

Supervise, organize, and ensure the effective execution of all operational and administrative processes of the business (roofing, mitigation, renovations, PA, marketing, sales), ensuring clear communication between departments, optimal use of resources, schedule compliance, and an excellent customer experience.

Key Responsibilities & General Coordination

  • Oversee the daily operations of roofing, mitigation, renovation, and other service projects.
  • Ensure each project has an assigned crew, materials, and scheduled dates.
  • Track all project phases: inspection, contract signing, scheduling, execution, payment collection, and project closure.

Communication & Follow-Up

  • Coordinate with inside sales, sales representatives, and crews to ensure proper information flow.
  • Follow up on open tickets, customer issues, and urgent situations.
  • Keep the database updated with clear statuses and notes.
  • Keep clients informed at all times regarding the status of their projects.

Team & Vendor Management

  • Assign crews based on location, type of work, and availability.
  • Coordinate material deliveries with vendors.
  • Ensure installation timelines and expected quality standards are met.

Administrative & Logistical Support

  • Prepare weekly operational reports.
  • Verify billing, collections, crew payments, and project costs.
  • Assist with documentation, contracts, and permits when applicable.

Key Performance Indicators (KPIs)

  • Percentage of projects scheduled without errors or delays.
  • Average project completion time.
  • Post-installation customer satisfaction level.
  • Weekly schedule compliance rate.

Required Profile

Skills

  • High level of organization, proactivity, and results-driven mindset.
  • Excellent communication skills (verbal and written).
  • Proficiency in tools such as , Google Sheets, and CRMs.
  • Ability to manage multiple tasks simultaneously under pressure.

Experience & Availability

  • Minimum of 1 year in similar roles in operational coordination or project administration (preferably in construction or operational logistics).
  • Experience working with remote and multidisciplinary teams.
  • Monday–Friday: 9:00 a.m. – 6:00 p.m. (U.S. Eastern Time)
  • Saturdays: 12:00 p.m. – 4:00 p.m. (flexible depending on workload / 9:00 a.m. – 1:00 p.m.)
  • Location: Remote / Home Office
  • Reports to: Operations Manager (LATAM)
  • Base Salary: To be defined based on experience + quarterly performance bonuses based on KPI achievement
