- What you will be doing
- PRIMARY DUTIES AND RESPONSIBILITIES:
Delegating all shipments that enter into the building to operations staff. Trouble shooting, problem management, issue resolution. Communicate all issues/problems/concerns/suggestions with Management. Participate in vendor meetings when necessary. Ability to provide training and oversee special projects.
Function:
- Communication link between our customers, suppliers, government authorities and Operations / Customer Service
- Order-management
- Planning and executions of shipment orders as well as their administrative execution
Goals:
The holder of this position must fulfil his obligations in such a way that:
- all tasks in his position are completed in a correct, timely, rapid and cost-efficient manner;
- the instructions of dispatching / operations / customer service are carefully attended to;
- all tasks are fulfilled according to corporate policies and procedures;
- the needs and expectations of the customer are considered and fulfilled;
- all relevant and applicable regulations and guidelines are adhered to (e.g. ADR / IATA)
The holder of this position must coordinate the cooperation between his area of work with all other areas of the corporation in such a manner that the flow of information is always free of friction, unimpeded, and a holistically positive coordination is assured.
Tasks and competencies:
The holder of the position must independently execute the following tasks:
The holder of the position
- writes conversation-protocols
- calculates transit-times
- calculates shipment prices
- raises jobs in the Transport Management System / World Star and edits these if needed.
- Books and pre-advises shipments
- Monitor shipments during the transport and reacts flexibly to any deviation from the plan
- Continuously check the activities and notes in the Transport Management System / World Star
- Handle Dash Portal (assigning activities to Drivers and checking and validating once its done)
- Check an enter extra charges for non-billing jobs
- Rate Customer/Pricing on local billing jobs
- loads, unloads of packages scheduled for pickups/deliveries;
- checks correctness and completeness of consignment during pickups/deliveries;
- select the best route available for a timely delivery/pickup;
- make sure that the House Way Bill is properly completed by shipper and/or consignee;
- uses cell phone to immediately report on progress or problem of deliveries, pick ups and to secure permanent availability;
- verifies good order of packages and/or envelopes;
- provides a communication link between customers and office staff. Any customer feedback must immediately be reported to operation;
- assure that all tasks assigned to him is fulfilled in a correct and timely manner;
- must maintain excellent cooperation with other team members;
- must be courteous with all customers and must always use proper language;
- must be dependable and avoid unexcused absence;
- must be presentable, wear clean clothes and well-kept at all times;
- always follow safety of work;
He/She performs preliminary actions, specifically:
- Conditioning and placement of packaging materials and Colling-media
- Marking and labelling of shipments as per regulations
- Preparation and/or procurement of all necessary documentation (HWB, MAWB, Import or Export Permit, export customs paperwork, live animals certificate, dangerous goods declaration, etc.)
- Checks transport documents as per IATA-DGR and or other road transport regulations.
He/She advises customer through:
- Explanation of the services
- Explanation of the transport charges
- Selection of the optimal transport alternative
- Selection of the necessary documents for the transport
- Information about irregularities / delays
- Informing the customer of the delivery data (POD)
- The acceptance, examination and forwarding of complaints
He/She supports sales through
- Forwarding relevant information to the Sales Executive
- Preparation and execution of written offers (Quotations)
Individual tasks:
The holder of the position is obligated to perform, in addition to the above described tasks, individual tasks assigned by his superiors, which are to be seen by their nature as part of his work area, or which arise out of necessity.
Experience and educational requirements:
Minimum of 5 years of Operational & Customer Service experience
Bachelors Degree preferred
Intermediate English proficiency
Organizational structure:
The Customer Service and Operations Representative is subordinate to Operations Manager.
No co-workers are subordinate to the Customer Service and Operations Representative.

- Work schedules:
- Monday to Friday from 8 am to 05:00 pm (availability if required).
- 2 weekends per month (count as paid overtime)
