About the Role

OpsArmy is hiring a Medical Records Intake Specialist to manage the first and most critical step in the medical records retrieval workflow. You will be responsible for reviewing incoming requests, identifying all relevant healthcare providers, validating authorization forms, and preparing complete documentation packets for downstream processing.

This role is ideal for someone with experience in medical records retrieval, law firm support, healthcare documentation, or insurance claims processing. Extreme attention to detail is essential, as the accuracy of your work directly impacts retrieval speed, legal compliance, and case outcomes.

Key ResponsibilitiesProvider Identification & Research
  • Identify all healthcare providers associated with a client's treatment history.
  • Locate billing providers and related entities through research tools, prior cases, or direct provider calls.
  • Enter all confirmed providers into the internal admin system with complete accuracy.
Document Review & Preparation
  • Review incoming Release of Information (ROI) forms for errors or missing details.
  • Correct or recreate base authorization forms as needed before packet assembly.
  • Prepare complete request packets, including cover letters, affidavits, and any required supporting documents.
  • Perform quality checks to ensure packets follow provider-specific and legal requirements.
Workflow Assignment
  • Assign prepared requests to the appropriate records retrieval specialists.
  • Balance workloads using utilization metrics to ensure timely processing.
Special Cases & Escalation
  • Identify provider-specific requirements such as custom authorization forms or notarizations.
  • Escalate irregular cases to the Client Success Manager (CSM).
  • Communicate with law firm case managers when information is missing, unclear, or conflicting.
What You Bring
  • Prior experience requesting medical records for law firms, healthcare providers, insurance companies, or retrieval companies.
  • Strong accuracy and attention to detail even small errors can cause significant retrieval delays.
  • Excellent English communication skills, both written and spoken.
  • Proficiency with PDF tools such as Adobe Acrobat (editing, combining, and form preparation).
  • Highly organized, thorough, and able to manage time effectively.
