About the Role

We're seeking a highly organized, tech-forward, and versatile Administrative / Paralegal Assistant to support daily operations, legal documentation, and client coordination. The ideal candidate is detail-oriented, organized, and comfortable handling both administrative and legal tasks. This role requires strong communication skills and the ability to maintain accuracy across multiple projects.

Salary: $1,000 - $1,100 USD (monthly)

Key Responsibilities

  • Administrative Operations
  • Coordinate calendars, calls, and team schedules.
  • Maintain organized digital files and case documentation.
  • Assist with billing, invoicing, and payment tracking.
  • Create and update templates, forms, and checklists.
  • Manage shared inboxes and route messages to the correct team members.
  • Ensure that all administrative processes adhere to firm procedures and confidentiality standards.
  • Legal & Case Support
  • Assist a real estate, corporate, and estate planning attorney throughout the entire client workflow process.
  • Draft letters, agreements, contracts, and other legal instruments.
  • Monitor key deadlines (contract contingencies, filings, trust funding tasks, business entity deadlines, and closing dates) and proactively flag any issues to the attorney.
  • Coordinate e-signatures, submissions, and document delivery.
  • Maintain and audit matter files in Clio Manage/Grow or equivalent practice-management system; ensure all documents are appropriately stored in Google Drive/Workspace, organized, accessible, and secure.
  • Prioritize caseloads based on deadlines and case progression.
  • Client & Third-Party Communication
  • Maintain open and friendly communication with clients, opposing counsel, and other colleagues to foster positive relationships and collaboration players.
  • Assist with client intake, scheduling, and document collection.
  • Provide updates, follow-ups, and clear case communication.
  • Handle sensitive information with discretion and professionalism.

Skills

  • Tech-savvy.
  • Heavy and repetitive use of Generative AI, involving at least ChatGPT and ideally additional models.
  • Requisite experience with Google Workspace, Microsoft Word, and Adobe Acrobat.
  • Optimal experience with legal case management systems (specifically Clio), VOIP phone systems, Calendly, LinkedIn, and Zapier.
  • Possesses strong organizational and time management skills, capable of managing a high-volume case load.Clear and professional communication, both in writing and speaking.
  • Meticulous and efficient, capable of meeting tight deadlines while maintaining accuracy.
  • Ability to abandon previous workflows and embrace new, innovative trends in work product delivery.
  • Proactive and resourceful, demonstrating strong problem-solving abilities.
  • Empathetic and patient when working with clients in sensitive situations.
  • Capability to work independently or collaboratively within a team.

Qualifications

  • A Bachelor's degree in Administration, Business, or a related field.
  • At least 2 years of administrative support experience within a law firm, real estate transactions, trust or estate planning, or business services environment.
  • Advanced English (both written and spoken) is required.
  • High-speed wired internet connection (200 mbps min.).
  • Apple MacBook model released after 2023.

Physical Setting - Remote

Schedule - Monday to Friday: 9 AM EST to 6:00 PM EST

Job Type: Full-time

Pay: S/.3, S/.3,700.00 per month
